Visibility into what you own with PyraCloud

Visibility into Entitlement, Inventory and Consumption (EIC) can drive optimization and help you more effectively govern and manage your software and cloud portfolio. Additionally, if you take into account the entire software portfolio, from on-premises to cloud, organizations are not getting the best value out of their investments, either wasting or over allocating upwards of 30% of their software and cloud budgets

Let's talk about entitlements

To talk about Entitlement is to discuss what you own – from both a software and cloud asset perspective. Unlike a physical asset such as a piece of hardware, laptop, smart phone or tablet, a software and cloud asset is not necessarily tangible. When an organization purchases a physical asset, they literally tag it for identification (with an actual sticker) and closely track maintenance and when that asset can be upgraded (i.e., the owner of that asset can upgrade to the newer model in 3-years). This level of accountability on a physical asset at the point of purchase and tracking it through the lifecycle means organizations are getting the best use of that asset.

This is obviously not as easy to do with software and cloud assets. Many times, vital data of software assets is getting lost at point of purchase, including the following data:

  • Terms and Conditions
  • Contract Lengths
  • Maintenance Duration
  • Purchase Models
  • License Keys

Similar to on-premises software assets, cloud resources are also not easily tracked. Out of sight, out of mind, cloud resources many times are consumed on a pay-as-you-go basis, the initial cost to spin up a cloud resource is low, but if that resource is not accounted for, i.e., turned off when not used or configured properly, the costs could be considerably over budget.

How PyraCloud can help

SoftwareOne can help you have increased insight into your software and cloud entitlements, so you have visibility into what you own. It enables you to convert your software and cloud resources into a tangible, managed and optimized asset.

Let’s take a look at the different ways PyraCloud and SoftwareOne enable our customers to accomplish this:

Capture software contract information at point-of-purchase

The vital data of software contracts mentioned previously is normalized, indexed and easily searchable. This data can help you procure your software assets effectively, track distribution, and be prepared for renewals and upgrades. PyraCloud is taking the unstructured software contract information and making it structured.

Capture spot software purchases that are not related to a contract

PyraCloud lets you import any spot software purchases, so you have an accurate view of these. On the other hand, if you leverage the quote and order process within PyraCloud, the software purchases will automatically be captured. Doing this will get you visibility into Shadow IT and tail-end purchases.

First time users and customers to PyraCloud and SoftwareOne do not need to worry

We have many customers that do not have all of their software contracts, purchases and entitlement information in one place and in different media, i.e., PDF, Excel, SharePoint, etc. SoftwareOne has a service called TrakIT (newly released) where SoftwareOne will consult with the customer, collect and normalize all of the software contract information and present this information via PyraCloud. Once in PyraCloud, the software assets become tangible. Ask your SoftwareOne Account Manager about this new service.

Cloud resources can be tangible with PyraCloud

The platform will help you discover the cloud resources used across your organization, normalize them, define the business units using them and establish budgets. Cloud resources are no longer out of sight, out of mind with PyraCloud.

The bottom line

Being able to discover, normalize, govern and track all software and cloud assets in one location is key to effective Software Lifecycle Management (SLM). Organizations need to manage the lifecycle of software and cloud resources from the point of purchase through to retirement. Having this visibility and control will help organizations optimize software and cloud spend, remain complaint, take advantage of global purchasing power and be in a better position to negotiate with publishers at time of renewals
