Schwarzwald-Baar Klinikum is a central healthcare provider in the region, facing the challenges of a modern healthcare organization: unyielding demands on IT availability, security, and stability, with limited personnel resources. The hospital’s goal is not only to operate totally reliable IT, but also to develop it strategically as the foundation for future-ready, professional healthcare delivery.
For many years, the hospital has worked closely with SoftwareOne using MultiVendor Premium Support (MVPS) to secure IT operations while leveraging flexible consulting services for planned projects.

In day-to-day hospital operations, IT is an essential element. Central services that directly support medical, organizational, and administrative processes must be alwys available, including email and directory services. At the same time, qualified healthcare IT personnel are limited.
To modernize its email platform, Schwarzwald-Baar Klinikum planned to gradually migrate its existing Exchange environment from Exchange 2016 via Exchange 2019 to Exchange SE. What mattered most was an approach that considered internal IT capacity, maintained operational security, and strengthened the team's technical expertise. Collaboration became particularly important when an unexpected technical challenge arose during the mailbox migration.
Drawing on a long-standing partnership and a deep understanding of the hospital’s structures and processes, SoftwareOne provided flexible, needs-based support under the existing MVPS agreement. A German-speaking contact person and the straightforward use of consulting services via an agreed hourly quota enabled fast responses. The migration project team included two hospital employees and one SoftwareOne consultant. The team completed individual migration steps collaboratively, with visible progress as the first mailboxes were successfully migrated.
Unexpected certificate conflicts later in the project impacted Exchange search functionality. Because stable functionality was a prerequisite for continuing the migration, the mailbox move was temporarily paused. Within the support quota, SoftwareOne made additional capacity available at short notice and worked with the hospital team to identify the connection between the patch and certificate issues and develop a structured path to resolution. The team carefully rolled back the environment and prepared the reconfiguration. With the knowledge transfer provided by SoftwareOne the hospital’s IT team was subsequently able to rebuild the environment independently. The mailbox move then smoothly continued.

The migration project was completed on time and within budget. Particularly valuable for the hospital was the confidence gained by IT decision-makers in managing the Exchange environment through the knowledge transfer. The high first-time resolution rate, direct access to German-speaking contacts, and flexible use of services noticeably relieved the internal IT team.
Based on this experience, the hospital plans to use MultiVendor Premium Support for more strategic projects in the future. These will include optimizing the Windows Server and Active Directory infrastructure. In addition, MVPS will be used for strategic consulting around cloud and Microsoft 365 topics. MVPS offers the hospital an ideal combination of reactive support in day-to-day operations and targeted expert knowledge and planning resources. This makes SoftwareOne a reliable partner for the continuous development of the hospital’s IT infrastructure.
