Almost 5,500 employees are responsible for more than 30,000 inpatient and over 740,000 outpatient treatments annually.

Introducing digital communication services

The KSA Group faced a fundamental challenge beyond keeping pace with digital developments. Its overarching goal was to set a new benchmark for operational excellence, establishing and living it in everyday working life. Along with this development, the design of networked, patient-centered care would become more accessible, more flexible, and more secure.

The pandemic again emphasized the urgency of communicating simply and effectively through online meetings. This requirement led to the decision to build a digital platform with Microsoft to create an integrated and security-compliant platform with Microsoft M365 and Teams. The new platform enables smooth and secure communication, easing data exchange and simplifying administration. Assistance from an external service provider imparts the necessary knowledge and offers support that enables employees to comfortably learn the new cloud technologies quickly and efficiently.

Migrating to a new IT system is a challenge for everyone, from migration project staff to users familiarizing themselves with new applications and functions. Engaging an experienced training provider helps to effectively educate employees about the new possibilities of cloud-based collaboration with M365.

Employees fit for M365 through targeted training measures

To ensure the successful introduction of M365, the KSA Group collaborated with the SoftwareOne IT Campus to develop and implement targeted training and support measures for its employees. The program focuses on comprehensive knowledge transfer. It creates support structures that enable users to handle the new technologies smoothly and familiarize them with new functions. These measures allow employees to effectively integrate the online platform tools into their daily work processes. The integration significantly supports the hospital's goals by increasing efficiency, improving the quality of patient care, and optimally positioning the organization for future healthcare sector developments.

The implementation approach:

  • Pilot or trial training with participants from all target groups at the hospital: This allowed content adjustments to be made at an early stage and technical challenges to be identified and resolved.
  • Basic training on M365: KSA Group and its experienced SoftwareOne trainers held best-practice webinars several times as a central initiative component. The sessions demonstrated the possibilities of structured collaboration with Microsoft 365. Initially available in the beta phase for 250 users, in the final phase, webinars were held for 5,500 users.
  • Organized question and answer sessions: These interactive meetings allowed employees to clarify open questions and discuss specific concerns to ensure efficient implementation in their day-to-day work.
  • Implementation of the Soluzione42 self-service portal and its expansion with specific hospital training videos: The portal enables employees to find solutions independently. Videos are based on pilot project findings and consider the views of doctors and nursing staff. In addition, so-called ‘champions’ were recruited and trained in the individual departments to act as local contacts.

All training and support measures contributed to successfully introducing the new technologies to the hospital and enabled employees to use the digital tools efficiently.

In close cooperation with the SoftwareOne IT Campus, the KSA Group successfully organized training and support campaigns. The basic team training courses on Microsoft 365 and the Soluzione42 self-service portal laid the foundations for a deep understanding and the shift from cloud skepticism to genuine enthusiasm. A ‘swarm intelligence’ has not yet been fully achieved. This signals to us that further adoption and change measures are needed to overcome any resistance and encourage widespread participation.
